President
- Develop and maintain chapter Constitution and By-Laws
- Facilitate board meetings
- Prepare board meeting agenda, set date/times/locations
- Open/welcome attendees to monthly meetings
- Write website president’s message
- Represent Seattle chapter to national ISPI
- Provide vision and direction for chapter in concert with chapter mission
- Collaborate with VP Business/Community Outreach to define and implement evangelistic outreach
- Drive the annual Election process for board officers
- Document all processes and procedures in your area of responsibility
- Time commitment: 2-3 hr/month plus meetings

VP Finance
- Make bank deposits
- Reconcile bank statements
- Pay bills
- Pay reimbursements
- Create and deliver financial reports
- Maintain check register
- Document all processes and procedures in your area of responsibility
- Time commitment: 2-3 hr/month plus meetings

VP Programming
- Determine programs—find workshop speakers/presenters.
- Plan annual workshop
- Evaluate speaker proposals for workshops
- Work out the details for presenters and last minute confirmations.
- Obtain/create presenter’s topic description and presenter bio and submit to the VP of Communications three weeks before meeting date
- Arrange for out-of-town presenter accommodations and travel arrangements
- Consult with board (VP of Finance) on costs that impact budget before making commitments/expenditures over $200
- Introduce presenters at meetings.
- Create and maintain bio template for presenters
- Send thank you with presenters
- Plan /create HPI core curriculum in collaboration with chapter president
- Work with Program Logistics on issues meeting issues
- Document all processes and procedures in your area of responsibility
- Time commitment: 5-6 hr/month plus meetings


VP Program Logistics
- Locate and secure workshop and meeting facilities collaborating with VP of Programming.
- Arrange for catering/food for workshops and meetings and get approval for any expenditures over $300
- Create meeting sign-in sheets showing paid members
- Print appropriate announcements/flyers for meetings (provided by VP of Communications. Get these from VP Communications.
- Provide directions to meeting locations when needed
- Secure thank you gifts and ensure that there is supply and bring to meeting
- Assure greeting table supplies are at each meeting (i.e. badges, pens, all handouts—coordinate with the VP of Communications for current copies)
- Develop/maintain program/speaker evaluation process
- Administer evaluation of workshops and meetings, compile evaluation data and send to meeting presenter and board members
- Own/manage a resource table (decide what’s appropriate and not, print and make available at events)
- Assist VP Membership with meeting/event sign-in
- Document all processes and procedures in your area of responsibility
- Time commitment: 8-9 hrs./month plus meetings

VP Business/
Community Outreach

- Build relationships with corporations, professional organizations, schools, universities for the purposes of:
- Introduce them to who we are—presentations
- Identify potential members/speakers
- Advertise our programs
- Explore/develop corporate sponsorship program
- Explore opportunities to partner with non-profits to do project work
- Document all processes and procedures in your area of responsibility
- Time commitment: 7-9 hr/month plus meetings

VP of Communications
- Manage ongoing communication strategy
- Maintain a electronic master of all ISPI chapter documents
- Create marketing collateral
- Create and send meeting/event communiqués describing meetings/events
- Send/forward all outbound information/communiqués to VP Web/Data Management for posting on the website
- Send meeting invitations and reminders to chapter meetings via Cvent
- Send workshop/meeting collateral/communiqués from VP Web/Data Management for posting on a payment-collection site, if applicable (e.g. Acteva)
- Create miscellaneous written materials as needed
- Manage job opportunity announcements process
- Review/revise and approve announcements to VP Web/Data Management posting on website
- Send/forward e-copies of all meeting collateral to VP of Program Logistics 1 week prior to meeting for reproduction
- Document all processes and procedures in your area of responsibility
- Time commitment: 5-6 hr/month plus meetings

VP of Membership
- Manage/staff the welcome table at workshops and meetings —collect workshop/meeting fees.
- Balance out at end of evening and forward to VP of Finance.
- Send meeting attendance email to board (# visiting, # new members, total attendance) following event.
- Respond to questions from members/others about the chapter
- Provide information on how to become members
- Send current meeting schedule if requested
- Refer inquiries to other board members as needed
- Ensure all new members receive information packets (work with Communications VP to keep information updated and current)
- Maintain supply of red ISPI folders—get from ISPI National
- Manage overall membership process
- Develop and maintain a marketing/recruitment strategy
- Ensure accurate list of all current members and list of interested NON
members within Cvent
- Create/maintain new membership form
- Load all new member forms into Cvent
- Manage workshop/meeting registration table
- Bring a sign in sheet to each meeting with a list of members
- Welcome meeting attendees and assist with sign-in
- Load attendees from each meeting into Cvent within a day or two after a chapter meeting or workshop
- Document all processes and procedures in your area of responsibility
- Time commitment: 7-9 hr/month plus meetings

Webmaster
- Responsible for membership directory
- Web-based forms
- Manage Seattle ISPI website
- Chapter newsletter (future)
- Post workshop/meeting collateral from VP Communications
- Post registration info. on applicable payment-related website (e.g. Acteva) for all event communiqués
- Set up and/or manage payment-related website (e.g. Acteva) relationship for Credit Card processing of Membership dues/Meeting fees
- Assist VP Membership with membership-related issues on the website
- Document all processes and procedures in your area of responsibility
- Time commitment: 14-15 hr/month plus meetings

President Elect
- Cover meetings for president as needed
- Assist President and Board Members as needed
- Document all processes and procedures in your area of responsibility
